What You'll Do
- , but are not limited to: Provide high-level administrative and operational support to executive leadership, including complex calendaring, scheduling, travel arrangements, and expense reporting.
- Manage end-to-end meeting coordination, including preparing agendas, taking clear and concise meeting notes, documenting decisions, and tracking action items to ensure timely follow-up and completion.
- Act as a trusted partner to executives by proactively anticipating needs, prioritizing requests, and ensuring seamless day-to-day operations in a fast-paced, dynamic environment.
- Coordinate and communicate with internal stakeholders to follow up on assigned tasks, deadlines, and deliverables resulting from leadership meetings.
- Organize and support team and leadership meetings, offsites, and events, including logistics, materials preparation, and post-event follow-up.
- Support general office management activities, including procurement support, office supplies coordination, and vendor interactions.
- Work cross-functionally with other executives, executive administrators, and key business partners to ensure alignment and efficiency.
- Maintain professionalism, discretion, and confidentiality when handling sensitive information and executive communications.
- Position Requirements 6+ years of experience supporting executive-level leaders (Vice President and above).
- Demonstrated proficiency in the Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Experience working with procurement and expense systems such as Coupa or similar platforms.
- Proven ability to manage multiple priorities and support several leaders concurrently with accuracy and attention to detail.
- Strong organizational and follow-through skills, with the ability to independently manage tasks and meet deadlines with minimal supervision.
- Excellent verbal and written communication skills, including the ability to produce professional meeting notes, summaries, and follow-up communications.
- High level of professionalism, maturity, discretion, and sound judgment; ability to always maintain confidentiality.
- Positive, service-oriented mindset with the ability to remain calm, adaptable, and effective under pressure.
- Job Location This is an on-site position based in San Jose, CA.
- In-office attendance (4 days a week) is required.
- The annual salary range for California is $45.09 to $83.75 an hour.
- You may also be eligible to receive incentive compensation: bonus, equity, and benefits.
- Sales positions generally offer a competitive On Target Earnings (OTE) incentive compensation structure.
