About This Role

  • The Role and Impact As an Administrative Assistant for APTM Facilities Operations organization, you will play a critical role in ensuring the smooth operation of daily activities for individuals and teams within Intel.
  • Your day-to-day responsibilities will include managing calendars, coordinating meetings, organizing events, and preparing reports and correspondence.
  • By enabling efficient operations and supporting various organizational needs, you will contribute to Intel's ongoing success.
  • Business group You will be part of Intel Foundry APTM Facilities Operations team, which focuses on creating a productive and seamless work environment for employees.
  • This group supports Intel's broader mission by ensuring the efficient execution of administrative and operational tasks that drive collaboration and organizational effectiveness.
  • Key Responsibilities Manage calendars, schedule appointments, and prevent conflicts to ensure efficient time management.
  • Coordinate and maintain conference room bookings, as well as plan and execute internal events such as offsite meetings and team-building activities.
  • Support hiring activities such as opening requisitions, coordinating interviews, onboarding logistics, and updating organizational information.
  • Prepare communications, such as memos, emails, invoices, and reports, while maintaining filing systems for organized documentation.
  • Provide real-time scheduling support, leadership events, FTF sessions, executive visits, handle travel arrangements and expense submission for leader.
  • Monitor office supply inventory, anticipate needs, and manage procurement processes to maintain workplace readiness.
  • Generate reports and presentations, organize and edit documents, and support project-related activities as needed.
  • Serve as an information resource and communication channel for policies, procedures, and organizational updates.
  • Effectively navigate dynamic and fast-paced environments where priorities, timelines, and requirements may evolve rapidly.
  • Maintain composure, confidentiality, and attention to detail in situations requiring discretion, rapid response, and effective problem-solving.

Requirements

  • Diploma in administrative or relevant certification with a minimum of 15 years or more administrative assistant work experience.
  • Proficiency in office productivity tools such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience managing calendars, coordinating travel arrangements, and handling expense reporting processes.
  • Demonstrated ability to organize meetings, events, and conference room schedules effectively.
  • Preferred Qualifications Proven ability to handle high-pressure situations and adapt to changing priorities with professionalism.
  • Strong communication skills, including the ability to draft, edit, and present reports and written documentation.
  • Detail-oriented approach to managing schedules, logistics, and organizational processes.
